How can AI turn meeting notes into action items?
Give the AI a transcript or your notes plus your project context, and ask for decisions, action items with owners and due dates, open questions, and a follow-up email. Review the list before you send it.
AI is very good at turning a messy transcript into a clean list of who agreed to do what. The book covers this in Chapter 5, The Meeting Killer, and claims it can cut 2–4 hours a week of meeting processing down to a largely automated step.
Step by step
- Capture the meeting. Use a transcription tool such as Otter.ai or Fireflies.ai, or your own rough notes. Get everyone's consent to recording and follow your organisation's rules.
- Give the AI your project context. If you use a Project Brain, it already knows your stakeholders and acronyms, which makes owner names and terms far more accurate.
- Ask for a structured output. For example: "From this transcript, list: decisions made; action items with owner and due date; open questions; risks raised. If an owner or date wasn't stated, write 'not stated' rather than guessing."
- Review it against your memory of the meeting. Check owners and dates especially carefully.
- Ask for the follow-up email once the list is right.
- File the results. Add decisions to your decision log and the notes to the News tier of your Project Brain, so later reports can use them.
Tips for better results
- Name the speakers if your transcript uses "Speaker 1" labels, or tell the AI who was present.
- Separate decisions from discussion. Ask it to include only things that were actually agreed.
- Keep a standard format so action items look the same every week and are easy to track.
